Planning an effective presentation

A good presentation usually starts well before the first slide is created. The most useful early decisions concern the audience, the purpose of the presentation, the messages you want people to remember and the amount of material that can realistically be covered in the time available. Getting these things right makes every later decision easier, including what to include, what to leave out and how to organise the information.


Understand your audience

One of the most common mistakes when preparing a presentation is opening PowerPoint too early. It is understandable: you have been asked to give a 20-minute presentation, so you create a title slide and start thinking about what should go on slide two. Before long, you have 35 slides, several graphs, a table copied from a paper and a growing concern about how you are going to fit everything in. The problem, however, started before you created the first slide. A presentation should begin with three questions: who is the audience, what is the purpose and what do you want people to take away from it?

The same subject may need to be presented very differently to different groups. Suppose you have led a quality improvement project that reduced waiting times in an outpatient service. If you are presenting the work at a clinical governance meeting, the audience may want to understand the problem, methodology, clinical implications and results in some detail. If you are presenting the same project to senior managers because you want funding to expand it, they may be more interested in resources, efficiency, sustainability and whether the intervention could work elsewhere. At a conference, meanwhile, you may need to spend more time explaining the local context because the audience does not know your organisation or its systems. The project has not changed, but what the audience needs from you has.

It is also worth thinking about why people are there in the first place. An audience attending a conference session voluntarily will behave differently from colleagues required to attend a departmental meeting, just as a group of trainees preparing for an examination will have different expectations from a board considering whether to approve a service change. You should also consider their existing knowledge. If you assume too much, they may become lost early on; if you explain familiar material in excessive detail, they may switch off. Good presentation planning therefore starts with the audience's starting point and what matters to them, rather than with everything you happen to know about the subject.

Be clear about the purpose

Not every presentation has the same purpose, and this should influence almost every decision you make afterwards. You may be trying to teach something, explain a change, persuade people to support a proposal, present research, stimulate discussion or encourage a change in behaviour. Sometimes more than one of these applies, but there is usually a dominant purpose that should determine what you emphasise and how you organise the material.

A common mistake is to confuse the subject with the purpose. Saying, "My presentation is about our new referral pathway" tells you the topic, but not what the presentation is meant to achieve. Saying, "I want clinicians to understand why the pathway is changing, what they need to do differently from Monday and where to get help if they are unsure" gives you a much clearer basis for deciding what to include. The same applies to teaching. A presentation on sepsis could be designed to introduce the subject to students, refresh experienced clinicians or change practice following an incident, and each version would need a different emphasis.

The clearer you are about the purpose, the easier it becomes to decide what belongs in the presentation and what does not. This is also what protects you from adding material simply because it is interesting. A useful piece of information may still be unnecessary if it does not help the audience achieve what you want them to achieve.


Decide what you want people to remember

Presenters often judge their own work by how much information they have managed to include. Audiences do not experience a presentation in the same way. They are listening in real time, often to a subject they know less well than you do, and they may already have sat through several other presentations that day. More information does not necessarily lead to better understanding and can easily have the opposite effect.

It is therefore useful to decide, before building the detail, what you would want people to remember if you met them a week later. Perhaps there are three important messages, perhaps four; the exact number matters less than the act of prioritising. Once you know what those messages are, they become a filter for the rest of the presentation. Does a particular slide help the audience understand one of them? Does an extra study materially change the argument? Is a detailed table really necessary, or is it simply there because you spent a long time producing it?

This can be particularly difficult for experts because familiarity with a subject creates an abundance of material. You know much more than you can possibly say, and some details feel too important to leave out simply because you know them well. Good presenting involves judgement about what this audience needs now, rather than demonstrating the full extent of your knowledge.


Work backwards from the time available

Time should shape the content rather than merely the speed at which you deliver it. A 10-minute presentation and a 40-minute presentation on the same subject should not be identical apart from the speaking rate. If you have less time, you need less content. Speaking faster, cutting explanations or squeezing additional material onto slides usually makes the presentation harder to follow rather than more efficient.

When planning, consider how much time you realistically have for each section and whether questions are included within the allocated slot. It is sensible to build in some margin, especially for important presentations. A talk that takes exactly 20 minutes in perfect rehearsal conditions can easily become 22 or 23 minutes once you are in the room, particularly if you pause more naturally, respond to the audience or lose a little time at the start.

Running over is not simply an etiquette problem. It often damages the quality of the presentation itself because the final third becomes rushed. The speaker starts skipping explanations, moving through slides too quickly and compressing the ending just when the main messages should be reinforced. It is usually better to remove material during preparation than to discover during delivery that there is not enough time for it.


Research selectively

Researching a presentation is not the same thing as writing a literature review. You need enough evidence to support what you are saying and, in clinical or scientific presentations, you need to ensure that the information is accurate and current. However, the audience does not need to see every paper you read or every stage of the analysis that informed your thinking.

A useful paper may influence the presentation without deserving a whole slide. Several studies may support a single conclusion that can be communicated clearly without listing every result. The important thing is to understand the evidence well enough to explain why you have reached your conclusion and to answer reasonable questions about it. References can certainly be included where appropriate, particularly in academic presentations, but avoid turning every slide into a miniature journal article.

The same principle applies to background information. If the audience needs context, provide enough for the rest of the presentation to make sense. Once that purpose has been achieved, move on. Presentations tend to improve when preparation involves not only deciding what to add, but also being willing to remove material that no longer earns its place.

Structuring a presentation so that people can follow it

A presentation needs more than a collection of good slides. The audience also needs to understand how the ideas fit together. Good structure helps people follow the argument, remember where they are and understand why one section leads to the next. This becomes even more important when the subject is unfamiliar or complex.


Start with a reason to listen

The first few minutes matter because they establish what the presentation is about and why it deserves attention. This does not mean every talk needs a theatrical opening, a dramatic personal story or an extraordinary statistic. There is a tendency in some presentation advice to insist on a "hook" at any cost, and the result can feel contrived. A straightforward opening is often perfectly effective if it immediately makes the subject relevant.

Compare, for example, "Today I'm going to talk about delays in our outpatient pathway" with "Six months ago, the average patient referred to our service waited 11 weeks before starting treatment." The second version gives the audience a problem to think about immediately. From there, you can explain why it matters and what you intend to cover.

Clinical cases can be particularly effective openings in healthcare because they provide context quickly. A short patient story can make an abstract discussion about communication, patient safety or service design much easier to grasp. The key is proportion. A five-minute anecdote at the beginning of a 15-minute presentation is probably taking too much attention away from the presentation itself.


Build a logical sequence

Once the audience understands why the subject matters, the rest of the presentation needs to follow a sequence that makes intuitive sense. A quality improvement presentation might introduce the problem, explain how it was investigated, describe what changed and show what happened afterwards. A clinical teaching presentation might begin with a case, explore the relevant principles and then return to the case to apply them. A strategic proposal might describe the current position, explain why it is unsatisfactory, consider the available options and then set out a recommended approach.

There is no universal structure that works for every topic. The important point is that the audience should not have to work hard to understand why one section follows another. When you are deeply familiar with a subject, connections that seem obvious to you may not be obvious to someone encountering the material for the first time. This is one reason rehearsing to another person can be useful. They may notice a leap in logic that you no longer see.

Signposting helps as well. Phrases such as "There are two main reasons we changed the pathway", "The second issue was capacity" or "We've looked at why the problem occurred; I want to spend the next few minutes looking at what we changed" give the audience a sense of where they are. These sentences may look unnecessary on paper, but spoken information disappears as soon as it is heard, so listeners benefit from reminders of the structure.


Make the ending useful

A surprising number of presentations end simply because the speaker has reached the last slide. "So... yes. That's everything from me. Any questions?" is common, but it wastes an opportunity to reinforce the main message.

The ending should bring the audience back to the purpose of the presentation. If you have presented research, what is the main implication? If you have taught a clinical subject, what should people remember in practice? If you have presented a proposal, what decision or action are you asking for? A useful ending does not need to be dramatic. It needs to be clear.

Avoid introducing substantial new information at this stage. If a point is important enough to appear in the final 30 seconds, it probably deserved proper attention earlier. The final section works best when it draws together what the audience has already heard and reminds them why it matters.

Storytelling in presentations

Storytelling can make presentations easier to follow because it gives information context and progression. It is particularly useful in healthcare, where clinical cases, service problems and quality improvement projects naturally contain a sequence of events. The aim is not to turn every presentation into a dramatic story, but to use narrative where it helps people understand why the information matters.


At its simplest, a story involves something happening, a problem or uncertainty emerging, somebody responding and something changing. Healthcare contains these sequences all the time.

A patient becomes unwell. A diagnosis is initially unclear. New information emerges. A decision is made. A department identifies a recurring problem, collects data, introduces an intervention and sees outcomes change. A trainee struggles with a skill, a supervisor identifies what is going wrong and teaching is adapted. These are all stories without requiring any embellishment.

Stories help because facts are easier to understand when people know why they matter. Suppose you begin a quality improvement presentation with several slides explaining methodology, data collection and statistical analysis. The audience may understand each slide individually but still wonder why they should care. If you instead begin with, "We knew patients were waiting too long, but we didn't know where the delay was occurring", the audience has a problem to follow. You can then explain how you investigated it, what you found and what happened next. The methodology and data are still there, but they now have context.


Patient stories can be particularly powerful in medical presentations because they make abstract issues tangible. A brief clinical case may explain the significance of a communication problem more effectively than several theoretical slides. They can also help the audience remember why a service or policy matters in practice. Confidentiality, however, remains important, and unnecessary identifying details should be avoided.

Personal stories can also be useful, particularly when teaching communication, leadership or professional development. A brief example of a mistake you made as a junior doctor may illuminate a point very effectively. The same is true of experiences that reveal uncertainty, learning or a change in approach. Audiences tend to respond well to honesty when it is relevant to the teaching point.

What is less effective is using stories mainly to demonstrate how successful the presenter has been. If every anecdote ends with you making the perfect decision or rescuing a difficult situation, the stories can start to feel self-congratulatory. Personal examples work best when they help the audience understand something rather than simply admire the speaker.

Storytelling should also remain optional. Some information simply needs to be explained clearly. If you are presenting updated guidance on a straightforward process, an elaborate narrative may add little. Storytelling is useful when it improves understanding, not because every presentation supposedly needs one.

Simplifying complex information

The better you know a subject, the easier it is to underestimate how difficult it may be for somebody else. Presenters often assume that terminology, background knowledge and connections between ideas are obvious simply because they have become familiar. Effective presentations make complex information easier to enter without sacrificing accuracy.


The curse of knowledge

One of the difficulties of presenting a subject you know well is that you stop remembering what it feels like not to know it. Concepts that now seem obvious may have taken you months or years to understand. Acronyms become so familiar that you barely notice them. Connections between ideas become automatic.

This is sometimes described as the curse of knowledge, and it explains why experts can occasionally be surprisingly poor teachers. They omit steps because those steps no longer feel like steps. They introduce terminology before the audience has understood the underlying concept or assume that everyone sees the significance of a result because they themselves have been immersed in the subject for weeks.

When preparing a presentation, deliberately ask where an intelligent but less knowledgeable audience member might become lost. Do they understand the terminology? Do they know why one result matters more than another? Have you explained the background needed to make sense of the conclusion? If an abbreviation appears on a slide, will everyone recognise it?

Simplifying does not mean dumbing down. It means removing unnecessary obstacles between the audience and the idea you are trying to communicate.


Build complexity gradually

Complicated subjects are often easier to understand when the broad principle comes first and detail is introduced afterwards. If you are explaining a complex clinical pathway, show the overall flow before introducing exceptions. If you begin with every caveat, branch and special case, the audience may never develop a mental picture of the basic process.

The same applies to scientific information. Start with the main finding, then explain the detail that qualifies or adds nuance to it. This does not mean hiding uncertainty or oversimplifying evidence. It means giving the audience a framework into which the detail can fit.

Analogies can help as well. A good analogy connects a new idea with something familiar and can sometimes do more work than several explanatory slides. However, every analogy breaks down somewhere, so use them carefully. Be clear about what aspect of the concept the analogy is intended to illuminate and avoid stretching it beyond that point.

Cognitive load and why some presentations are hard to follow

Some presentations are difficult not because the subject is inherently too complex, but because the audience is being asked to process too much at once. Understanding this helps explain why reducing clutter, slowing down and controlling the order in which information appears can make such a difference.


Working memory is limited

Audiences cannot hold unlimited amounts of new information in mind at once. When several unfamiliar ideas arrive simultaneously, comprehension becomes harder. This helps explain why presentations with dense slides, rapid speech and complicated diagrams can feel exhausting even when the underlying content is sound.

Imagine a slide containing a paragraph of text, a graph with four lines, two references and several highlighted figures. While the audience is trying to interpret all of this visually, the presenter is also speaking about something slightly different. The problem is not simply that the slide looks unattractive. The audience is being asked to read, listen, compare, interpret and remember at the same time.

Some cognitive load is unavoidable. If you are teaching a difficult subject, people need to think. The aim is not to make everything effortless. What you can reduce is the unnecessary load created by the presentation itself. Tiny text, cluttered layouts, unexplained abbreviations, decorative visual elements and information appearing faster than the audience can process it all consume attention without helping learning.


Control the amount of information arriving at once

Complex information is often easier to understand when it is built in stages. You might show a simple process first and then add an additional step, or introduce the main elements of a diagram gradually before showing the final version. This is one of the situations where animation can be genuinely useful, provided it is serving understanding rather than decoration.

The same principle applies verbally. If you introduce a new technical term, define it before using it repeatedly. If you show a graph, give the audience a moment to orientate themselves before explaining the conclusion. If a slide contains several findings, take them one at a time rather than speaking as though the audience has already absorbed everything.

These small decisions make a presentation feel easier to follow because the audience can concentrate on the idea itself rather than on working out where to look or what something means.

Designing presentation slides

Slides can support a presentation extremely well, but they can also create a second source of information that competes with the speaker. Good slide design is therefore less about decoration and more about helping the audience see what matters quickly and clearly.


Use slides for the audience, not as a script

PowerPoint, Keynote and similar software are so closely associated with presentations that it is easy to treat the slide deck as the presentation itself. It is not. The presentation is the communication taking place between you and the audience. Slides are one of the tools available to help.

Before improving a slide, ask whether it needs to exist. If you can explain something clearly in 20 seconds without visual support, a slide containing exactly the same sentence may contribute nothing. This does not mean you should deliberately minimise the number of slides. A presentation with many simple, purposeful slides may be much easier to follow than one with ten overloaded slides. The point is that every slide should have a reason for being there.

One reason slides become overcrowded is that presenters use them as speaker notes. If everything you intend to say is written on the screen, you cannot forget it. Unfortunately, your audience then has to read your notes as well. If you need prompts, use presenter notes, cue cards or a short outline. Keep the screen for information that helps the people listening.


Use headings to communicate meaning

Slide headings are often underused. Many simply label the category of information: "Background", "Methods", "Results", "Discussion". These may be appropriate in some academic contexts, but headings can often do much more useful work.

Instead of "Results", you might write "Waiting times fell after the new triage system was introduced". Instead of "Staff survey", perhaps "Most staff found the new process easier to use". The heading now tells the audience what they should notice rather than merely naming the type of slide.

This is particularly helpful in longer presentations. If somebody later looks back through the slides, the headings themselves can reveal much of the argument. It also forces you, as the presenter, to be clear about the purpose of each slide. If you cannot write a meaningful heading because you are not sure what the slide is trying to communicate, the slide may be doing too much.


Keep the visual design simple

Good visual design helps people work out where to look. Use a consistent hierarchy. Headings should look like headings, supporting text should be visually secondary and related items should appear related. Leave enough space around information so that the slide does not feel crowded.

Presenters sometimes feel compelled to fill empty areas because blank space looks unfinished. In reality, space is useful. It separates ideas and makes important elements easier to see. Extra boxes, borders, decorative icons and shapes may look polished, but every element asks for a little of the audience's attention.

Readability matters more than decoration. Your slides may look perfectly clear on a laptop 50 centimetres from your face and become almost illegible when projected in a large room. Use a font large enough for the setting, avoid putting essential information into tiny footnotes and choose typefaces that are easy to read.

Contrast is equally important. Pale grey text on a white background may look elegant on a high-quality monitor and almost disappear on a projector. Strong contrast is usually safer.

Animation can be helpful when it controls the order in which information appears. Revealing the answer to a question later, for example, can prevent the audience reading ahead. Building a complicated diagram gradually may also aid explanation. Decorative animation is different. Text flying onto the screen, spinning graphs and elaborate transitions tend to attract attention to the software rather than the content.

Accessibility in presentation design

Accessibility improves presentation quality for everyone. Clear structure, readable text, good contrast and sensible pacing do not only help people with specific accessibility needs; they reduce effort for the whole audience.


Make visual information easy to read

Colour deserves particular attention. If a graph uses red and green to distinguish two groups, some audience members may struggle to tell them apart. Where colour conveys meaning, reinforce it with labels, symbols, different line styles or patterns. Do not assume that colour alone is sufficient.

Text size and density are similarly important. Slides packed with small text are difficult for almost everyone, but particularly for people with visual impairment, dyslexia or other reading difficulties. If you find yourself shrinking the font to make everything fit, that is usually a sign that the slide contains too much.

Good contrast is also essential. Avoid pale text on pale backgrounds and consider how the slide may look on a projector rather than only on your own screen.


Think beyond visual accessibility

If you use video, captions can improve accessibility and may also help in large rooms where audio is imperfect. Make sure essential information is not dependent entirely on sound unless you know the environment supports it.

Clear structure can also help neurodiverse audience members. Rapid transitions, cluttered layouts, excessive animation and unpredictable changes of format may create unnecessary difficulty. Using consistent slide layouts, explaining the structure at the beginning and avoiding unnecessary visual noise can make the session easier to follow.

Accessibility is often less about adding special features and more about removing barriers that did not need to be there in the first place.

Presenting graphs, tables and numerical information

Data are particularly easy to present badly because the speaker has usually had far more time to understand them than the audience. A graph that feels obvious after several days of analysis may be difficult to interpret in the few seconds someone has before you start talking about it.


Give the audience time to understand what they are looking at

When a new graph appears, the audience needs a moment to orientate themselves. What is on the horizontal axis? What is being measured? Are there several groups? What period does it cover? If you immediately start explaining the conclusion while they are still trying to work out what the graph represents, they may miss part of what you say.

Briefly orientate them first. Explain what the graph shows, then direct attention to the important finding. Avoid phrases such as "As you can see..." when the point is not actually obvious. If the audience needs to notice a change in month three, tell them. If one group behaves differently from the others, identify it.

You are not insulting the audience's intelligence by doing this. You are saving them from having to analyse unfamiliar information while simultaneously listening to your explanation.


Simplify without distorting

Graphs created for analysis or publication may contain more information than is useful in a live presentation. If the audience needs to compare two groups, do they need six others on the same graph? If one trend matters, can it be displayed more clearly?

Simplification should never misrepresent the data, but there is no virtue in displaying every available variable simply because it exists. The same applies to tables. Tables work well in written documents because readers can study them at their own pace, compare columns and return to a figure. During a presentation, a table may be visible for less than a minute while you continue speaking.

If only two figures matter, show those figures. If the full table is important as a reference, consider including it in supporting material rather than expecting people to digest it from the screen.

Numbers also need context. A percentage reduction may sound impressive but be clinically unimportant, while a small absolute change may matter greatly in a large population. Explain what the number means rather than assuming it speaks for itself.

Using images, video and other visual material

Visual material is most useful when it communicates something that would be difficult or slow to explain verbally. The fact that something is visual does not automatically make it helpful.

Clinical photographs, diagrams, scans, maps, process diagrams and photographs of equipment can all add value when they support the point being made. Generic stock images, decorative icons and irrelevant photographs often do little more than fill space.

Video can be especially useful for demonstrating movement, behaviour, communication or a practical skill. Keep clips focused and test them beforehand. A five-minute video in the middle of a 20-minute presentation consumes a quarter of your available time, so it needs to justify that space.

Always have a plan for what you will do if the video does not play. If the clip is essential, know how you would describe what it was intended to show. Technical failure should not mean the presentation has nowhere to go.

Presenting without slides

Not every presentation needs PowerPoint. Some sessions work better when the audience is focused on the speaker, a discussion, a demonstration or something being developed in real time.

A small group discussion may work better around a table. A practical teaching session may be better built around a demonstration. A leadership session might benefit more from a flipchart or whiteboard if ideas are being developed with the audience.

Slides are useful when they help people understand something. They should not be used automatically just because a presentation has been scheduled.

Whiteboards and flipcharts can be particularly useful when information needs to emerge gradually. They allow you to construct a diagram or list with the group instead of presenting the finished version all at once. The drawback is readability, so write clearly and keep the layout organised. A board full of circles, abbreviations and crossing lines can become incomprehensible surprisingly quickly.

Handouts can also be useful when the audience needs detailed reference material that would be inappropriate on slides. A practical summary, checklist or list of key references may be more valuable than printing every slide in miniature.

How to rehearse properly

Rehearsal is where a presentation moves from being a set of slides to something you can actually deliver. It reveals problems with timing, structure and explanation that are difficult to see while editing the deck.


Rehearse aloud, not just in your head

Say the presentation aloud. Do not simply imagine what you will say. Speaking reveals things that reading does not. You discover which sentences are awkward, which explanations are too long and where transitions do not work. A slide you thought would take 30 seconds may take three minutes once you actually explain it.

Rehearsing aloud also gives you a realistic sense of timing. Time the presentation from beginning to end and do not stop the clock every time you make a small mistake. You need to know how long the presentation takes under normal conditions, not how long it might take if every sentence is perfect.

If you consistently run over, remove material. Do not simply decide that you will speak faster on the day. That solution rarely works.


Know the ideas rather than memorising every word

There is a difference between knowing your presentation and memorising a script. Unless exact wording matters, knowing the ideas is generally more useful. If you memorise every sentence, forgetting one line can feel catastrophic because you are trying to recover the script. If you know the structure and key points, you can explain the same idea in different words and continue.

The opening is worth preparing particularly carefully because the first minute is often when nerves are most noticeable. Knowing exactly how you intend to begin gives you something familiar to move into. The ending also deserves attention so that the presentation does not simply taper away.

Transitions should be rehearsed as well. People often prepare individual slides but pay less attention to how they move from one to another. Ask yourself why slide 12 follows slide 11. If the connection is difficult to explain, the structure may need work.

For important presentations, rehearse under conditions that resemble the real setting. Stand up if you will be standing. Use the presentation remote if you have one. If the talk is online, practise screen sharing and moving between any applications you need. Familiarity reduces the number of things you have to think about while speaking.

Using notes and presenter view

Notes can be useful, but only if they support your delivery rather than becoming another script to read. The best notes help you recover a detail or transition quickly without pulling your attention away from the audience.

Speaker notes can remind you of a figure, quotation, transition or example. They become much less useful when they contain several paragraphs that you intend to read verbatim.

Keep notes concise enough that you can glance at them and immediately recover your place. The more text you have to search through, the less useful the notes become when you actually need them.

Presenter view can also help by showing the current slide, the next slide and your notes, particularly during longer presentations. However, avoid becoming completely dependent on it. Technology fails, screens are configured differently and sometimes presenter view simply does not appear.

For an important talk, a one-page printed outline can also be reassuring. You may never look at it, which is fine. Its value may simply be knowing that you have a backup if something goes wrong.

Preparing the room and equipment

The practical environment matters more than many presenters expect. A good talk can become unnecessarily stressful if you arrive late, cannot connect to the projector or discover that the smallest text is unreadable from the back of the room.

Knowing the room and equipment in advance reduces uncertainty. Arrive early where possible and check where the screen is, where you will stand, whether there is a lectern and how the microphone works. If you can, stand where the audience will sit and check whether the smallest text is readable and whether anything blocks the bottom of the screen.

If a microphone is provided, use it. Presenters sometimes decline a microphone because they believe they can project their voice sufficiently. The issue is not whether you can be heard in the first few rows; it is whether everyone can listen comfortably without straining.

For important presentations, keep the slides in more than one place. Do not rely solely on one laptop or USB drive. A PDF backup can also be useful if fonts or formatting change on another computer.

These precautions may feel mundane compared with content and delivery, but practical problems are much easier to manage if you have anticipated them. The less time you spend worrying about cables, projectors and missing files, the more attention you can give to the audience.

Delivery, voice and body language

Delivery affects how easy it is for the audience to listen to you, but it does not require adopting a theatrical speaking style. The aim is to use your voice and body in a way that supports the message rather than distracts from it.


Use your voice deliberately

Nervous presenters commonly speed up. The audience then has less time to process the information, while the speaker becomes increasingly breathless and feels even more rushed. Slowing down slightly can improve clarity almost immediately.

Pauses are equally useful and often underused. You can pause after an important statement, before answering a question or while moving to a new section. Silence tends to feel much longer to the person speaking than to the audience. A short pause usually feels completely normal to listeners and gives them time to absorb what you have just said.

Filler words such as "um", "so", "basically" or "you know" are not catastrophic. Most people use them occasionally. They become distracting when they appear constantly, often because the speaker is trying to fill every moment of silence. Allowing yourself to pause is usually more effective than trying to eradicate every filler word consciously.

Volume matters too. Speak loudly enough for the room and use the microphone correctly. Avoid turning to face the screen while continuing to speak. If people at the back look as though they are straining to hear, increase your volume rather than assuming they are inattentive.

A completely flat voice can be difficult to listen to, but you do not need to become theatrical. Natural conversation contains variation in pace, pitch and emphasis. Allow the meaning of what you are saying to influence the way you say it.


Eye contact and connection

Eye contact helps create connection and gives you useful information about how people are responding. You do not need to make intense, prolonged eye contact with every individual. Look at different people and different areas of the room, allowing your gaze to remain somewhere long enough to complete a thought before moving on.

Avoid spending most of the presentation looking at the screen behind you. If you need to check a slide, glance at it and return to the audience. Presenter view can help because it reduces the temptation to turn around constantly.

Online, the situation is different. Looking at people's faces on screen does not appear as direct eye contact from their perspective. Occasionally looking into the camera can therefore help create connection. You do not need to stare into it continuously. Alternate naturally between the camera, the audience and whatever information you need to see.


Body language and movement

People often worry unnecessarily about what to do with their hands. There is no correct position. If you naturally gesture while speaking, gesture. If you gesture less, that is fine too.

The main issue is repetitive behaviour that becomes distracting: clicking a pen, playing with a presentation remote, touching your face, adjusting clothing or repeatedly clasping and unclasping your hands. These habits often happen unconsciously, which is why recording yourself can be useful.

Movement follows the same principle. Moving around can make a presentation feel natural, especially on a large stage, but constant pacing becomes distracting. Move when there is a reason or when it feels natural, then stop.

There is no single model of an effective presenter. Some speakers are humorous and animated; others are calm, measured and understated. Trying to imitate somebody whose personality is very different from yours often makes delivery less convincing. The aim is to develop good communication habits while retaining your own manner of speaking.

Managing presentation nerves

Feeling nervous before a presentation is common, including among experienced speakers. The aim is not necessarily to remove all anxiety, but to prevent it from interfering with your ability to communicate clearly.


Prepare for nerves rather than expecting to eliminate them

Physical symptoms can include a racing heart, dry mouth, shaking, sweating, butterflies in the stomach or the feeling that your mind has suddenly gone blank. These symptoms do not necessarily mean the audience can see how nervous you feel. Speakers are often much more aware of their own internal sensations than anyone watching them.

Preparation reduces uncertainty, which in turn usually reduces some of the anxiety. Know where the room is, how the equipment works and how you intend to begin. The opening is often the hardest part because you have not yet settled into speaking. Once the first minute or two has passed and you are into familiar material, nerves often become easier to manage.

A common response to anxiety is to speak quickly in an attempt to get the presentation over with. This usually makes things worse. You become breathless, have less time to think and are more likely to make mistakes. Deliberately allowing yourself to slow down can help you regain control.


What to do if something goes wrong

If your mind goes blank, stop. Look at the slide or your notes, remind yourself which section you are in and continue. A two-second pause feels much longer when you are the person standing at the front. The audience may simply assume you paused deliberately.

If you make a factual error, correct it if it matters. You might say, "Sorry, I said 15%. That should be 50%." Then continue. There is rarely any need for a long apology.

Technical problems should be approached in much the same way. If a slide will not advance, a microphone fails or a video refuses to play, deal with the problem calmly. If it cannot be fixed quickly, move on.

The more thoroughly you understand the presentation itself, the less dependent you are on everything going perfectly.

Engaging an audience

Engagement is often misunderstood as constant participation. In reality, the most important factor is whether the audience sees the relevance of what you are saying and can follow it.


Engagement begins with relevance

An audience can be deeply engaged while listening quietly. People pay attention when they understand why something matters to them.

Interaction can certainly help, but it should have a purpose. A clinical scenario can encourage people to think about what they would do. A question can make them consider an issue before you reveal the answer. A show of hands can demonstrate variation in experience. A short discussion can help learners apply a concept.

The important thing is to know why you are using the activity. Asking people to discuss something with the person next to them simply because you have been told presentations should be interactive does not automatically improve the session.

This is particularly relevant when presentations are being used for teaching. The choice of teaching method should depend on the learning objective, the audience and the setting. Read the room and adjust

Audience engagement is not only about what you planned beforehand. Pay attention to what is happening while you speak. Do people look confused? Are they still reading the slide while you have already moved on verbally? Did a particular example suddenly generate interest? Is a section taking much longer than expected?

A presentation should have a plan, but that does not mean ignoring what is happening in front of you. You may need to slow down, explain something differently or shorten a later section.

This is much easier when you know your material well enough not to be completely dependent on a script.

Humour in presentations

Humour can make a presentation enjoyable and help create rapport, but it is not compulsory. If humour comes naturally to you, use it where appropriate. If it does not, there is no requirement to insert jokes simply because you think a good presenter is supposed to be funny.

Forced humour is usually obvious. It can also distract from the subject if the audience is waiting for the next joke rather than following the argument.

Professional judgement matters, especially in healthcare. Be cautious with humour involving patients, colleagues, protected characteristics or sensitive clinical situations. Something that works among close colleagues may be inappropriate in a larger or unfamiliar audience.

Self-deprecating humour can work well in moderation, particularly when it makes the speaker seem approachable. However, repeatedly telling the audience how incompetent, terrified or disorganised you are can undermine credibility rather than create warmth.

Presenting to different types of audience

The content may be similar, but the way you deliver it should change depending on the size, knowledge and expectations of the audience. A small group, a conference hall and a board meeting require different approaches.


Professional and multidisciplinary audiences

Small groups usually allow greater interaction and feel more conversational. You can respond more easily to facial expressions and questions. Standing rigidly behind a lectern and delivering a formal lecture to six people may create unnecessary distance.

Large audiences require greater attention to visibility, sound and structure. You cannot make meaningful individual eye contact with hundreds of people, but you can include different areas of the room. Visual material needs to be especially clear because those at the back will struggle with small text and complex detail.

Senior audiences often have limited time. They may want the main issue and its implications quickly. This does not mean assuming that senior people know all the detail. Explain what they need, but avoid drowning them in background information that does not affect the decision.

Multidisciplinary audiences require particular care with jargon. Terms that are completely routine within one specialty may mean little to someone from another profession. If an abbreviation is necessary, explain it the first time.


Presenting to patients or the public

Presentations for patients or the public need different choices again. Use plain language, explain medical terminology and avoid assuming that professional shorthand is understood. The purpose may also be different. You may be helping people make sense of a condition or service rather than demonstrating expertise.

Risk communication deserves particular care. Percentages and relative risk can be misunderstood easily, so explain numbers in a way that gives meaningful context.

Allow time for questions. Members of the public may be less familiar with the conventions of professional presentations and may need more space to ask for clarification.

Presenting in a second language

Presenting in a language that is not your first can feel particularly demanding because you are managing content and language simultaneously. Clarity is more important than sophisticated vocabulary.

Use straightforward sentence structures and avoid unnecessary idioms. Speak at a pace that gives both you and the audience time to process what is being said.

Medical presentations can be challenging because they contain abbreviations, local terminology and technical language. Even fluent speakers may not be familiar with all of it. Define important abbreviations the first time you use them.

If there are technical terms, names or phrases you find difficult to pronounce, practise them beforehand. This is not about eliminating your accent. An accent is not a problem if people can understand you. The aim is to make the communication as easy as possible for the audience.

Online and hybrid presentations

Online presentations need to be planned slightly differently because eye contact, audience feedback and interaction all work differently through a screen.


Online delivery

Camera position makes a difference. Position it reasonably close to eye level where possible. A laptop camera pointing sharply upwards from desk height can create an awkward angle. Lighting should allow people to see your face clearly without requiring elaborate equipment.

Audio matters even more than video. People will tolerate an imperfect image more readily than distorted or intermittent sound. Use a reasonable microphone, choose a quiet environment where possible and mute notifications.

Occasionally looking into the camera creates the impression of direct eye contact. You do not need to do this constantly because you still need to see the audience and your slides.

Slides also need to work on smaller screens. Information that is readable in a lecture theatre may become difficult to see on a laptop or phone, so keep detail manageable.


Interaction and hybrid audiences

Online audiences may be reluctant to interrupt because they are unsure when or how to speak. Explain at the beginning how you want questions handled. Should people use the chat, raise a virtual hand or wait until the end?

Polls and chat can make online sessions more participative, but again, use them because they add something. The existence of a feature is not a reason to use it.

Hybrid presenting is particularly challenging because there are effectively two audiences. It is easy to concentrate on the people physically present and forget those online. If possible, have someone monitor the remote audience and alert you to questions. Repeat questions asked in the room so that online participants can hear them.

Research and scientific presentations

Research presentations often become difficult because the presenter knows the study in far more detail than the audience needs. The aim is to communicate the question, method, findings and significance clearly enough for people to understand and critically assess the work.


Start with the question and keep methods proportionate

Before giving detailed background, make sure the audience understands the question the research is trying to answer. Why was the study needed? What gap existed? What uncertainty were you trying to resolve?

Once the question is clear, the methodology has meaning. Methods matter, particularly when the audience needs to judge the validity of the findings, but not every methodological detail deserves equal attention. Concentrate on the aspects that affect interpretation.

The same applies to the results. Do not make the audience hunt for the main finding in a complicated graph or dense table. State the result clearly, then show the supporting data. If the finding is uncertain, say so. If confidence intervals are wide or the sample is small, explain what that means.


Discuss limitations and interpretation honestly

A strong scientific presentation does not pretend that a study is perfect. Explain the main limitations and what they mean for interpretation. Avoid either extreme: ignoring limitations completely or spending so long apologising for them that the audience loses sight of the value of the work.

It is also important to distinguish between results and interpretation. Be clear about what the data show and what you believe they mean. The distinction matters particularly when the evidence is uncertain or when there are plausible alternative explanations.

References should be included where appropriate, but unreadable walls of bibliographic text add little. Supporting slides or handouts can contain additional material if required.

Conference presentations

Conference presentations need to communicate quickly to an audience that may know the specialty well but know nothing about your organisation, service or local context.

Provide enough background for the work to make sense, but avoid spending half the presentation explaining your institution. Time discipline matters particularly at conferences because programmes are tightly scheduled. Running over affects the speakers who follow you and can reduce or eliminate question time.

The technical environment may also differ from what you are used to. Screen dimensions, fonts, microphones and presentation controls can vary. Avoid designs that depend on highly specific formatting and test the presentation on the conference system if you have the opportunity.

Conference questions can be challenging because some audience members may know the subject extremely well. That is another reason to understand your methods and evidence rather than merely memorising the presentation. If someone identifies a limitation, acknowledge it. You do not need to defend every aspect of the work as though criticism invalidates the whole project.

Interview presentations

Interview presentations are different from ordinary teaching or conference talks because the panel is also assessing how you think. The content matters, but so do judgement, prioritisation, structure and your understanding of the organisation.

Read the brief carefully and identify exactly what has been asked. If the question contains several elements, make sure you address all of them. Candidates sometimes prepare a very polished presentation that only answers part of the question.

If the presentation concerns a service, organisation or post, show that you understand the context. This does not mean filling slides with facts copied from the employer's website. Use relevant information to support your argument and make clear how your ideas fit the setting.

The discussion after the presentation can be as important as the presentation itself. Expect the panel to question assumptions, alternatives and implementation.

Persuasive presentations

Persuasive presentations are common in leadership, management and service development. You may be trying to secure funding, gain approval for a new pathway, persuade colleagues to change practice or support a pilot.

Start by establishing why change is needed. Presenters sometimes become so enthusiastic about the solution that they introduce it before the audience has accepted there is a problem. Explain what is not working, what the consequences are and why the issue matters now.

Then consider what matters to the people making the decision. Clinicians may focus heavily on patient outcomes, while managers may also need to consider resources, implementation, sustainability and organisational priorities. A persuasive presentation is stronger when it addresses the concerns of the people who actually have to approve or implement the change.

Objections should not be ignored. If there are obvious disadvantages, risks or costs, acknowledge them and explain how they might be managed. Pretending that a proposal has no drawbacks usually makes it less credible.

At the end, be clear about what you want. Are you asking for approval, funding, agreement to run a pilot, permission to develop the proposal further or a decision to change practice? Do not make the audience infer the ask.

Teaching presentations

Teaching presentations need to do more than communicate information. Their success depends on whether learners understand, remember and can use what they have been taught.


Start with learning needs

For doctors, presentation skills often form part of a wider teaching role. You may present at grand rounds, teach medical students, run departmental education, deliver induction sessions or teach on formal courses.

Start by considering what learners need to be able to do after the session. "Understand diabetes" is too broad to guide useful teaching. "Recognise the features that should make you suspect diabetic ketoacidosis and explain the initial management" is much more useful.

Clear learning objectives help you decide what to include and what teaching methods are appropriate. A lecture is one method and can be entirely appropriate, particularly for introducing or organising information. At other times, a case discussion, demonstration, simulation or supervised practice may work better.

Check whether people have understood

Do not assume silence means understanding. Questions, cases, polls and short exercises can help you see whether learners have followed the material. The method should suit the subject and audience rather than being added for show.

If learners are practising a skill, they also need useful feedback. Feedback should be specific enough for someone to understand what they did well and what they need to change. We cover this separately in our Giving Effective Feedback in Medical Education guide.

Presentation skills therefore overlap with teaching skills, but they are not identical. Doctors who teach regularly benefit from developing both, which is why our Teach the Teacher Course for Doctors covers presentation skills within the wider context of planning teaching, choosing appropriate methods, engaging learners and giving useful feedback.

Working with a co-presenter

Co-presentations can work well when responsibilities are clear and the presentation feels like one coherent piece of work rather than two separate talks joined together.

Agree in advance who is covering which section and how the presentation will move between speakers. Avoid both presenters preparing independently and discovering later that they have repeated the same material or left gaps.

Handovers deserve rehearsal. Even a simple sentence can make the transition feel intentional rather than awkward.

Questions should also be discussed beforehand. If one person has particular expertise in a section, agree that they will take questions on it. Avoid speaking over each other or contradicting each other unnecessarily in front of the audience.

Difficult audiences and interruptions

Audience behaviour is easy to overinterpret. Someone checking their phone is not necessarily bored. A quiet group is not necessarily disengaged. One person asking difficult questions is not necessarily hostile.

Side conversations are different if they become genuinely disruptive. Often pausing briefly or moving closer to that part of the room is enough. If not, address the interruption politely and continue.

Disagreement can also be useful. If someone challenges a point, listen to what they are actually saying. They may have identified a legitimate weakness or an alternative perspective worth considering. Respond to the argument rather than becoming defensive.

Questions during the presentation need judgement. If answering immediately will help everyone, do so. If it would interrupt the flow or the answer is coming shortly, explain that you will return to it.

Handling questions

Questions are part of the presentation, not an entirely separate test at the end. Thinking about them in advance can make the discussion considerably easier.


Listen and answer the question first

Think about the questions you are likely to be asked, including the difficult ones. When someone asks a question, listen to the whole thing before responding. It is surprisingly easy to begin constructing an answer halfway through and end up answering something slightly different from what was asked.

If the question is unclear, clarify it. You can paraphrase: "If I've understood you correctly, you're asking whether we could use the same pathway in primary care?" This prevents both of you talking at cross purposes.

Answer the question itself before giving background. Avoid three minutes of context before reaching the point.

If you do not know the answer, say so. "We didn't collect that information, so I can't answer that from our data" is a perfectly credible response.


Manage difficult questions calmly

Not every challenging question is hostile. Someone may simply disagree with you or have identified a weakness. Listen to the substance before reacting to the tone.

If the criticism is valid, acknowledge it. If you disagree, explain why without turning the exchange into an argument. If one person is taking over the session, answer briefly and offer to continue the discussion afterwards.

In a large room, repeat or summarise the question if others may not have heard it. This also gives you a moment to think.

What to do when technology goes wrong

Technical problems feel much bigger to the presenter than they usually do to the audience. If the slides freeze, the microphone fails or a video will not play, deal with the problem calmly.

Know what you can continue without. You should understand the presentation well enough to explain the essentials if a visual aid fails. If a video is important, be able to describe what it would have shown.

Do not spend too long troubleshooting in front of the audience. If the problem cannot be fixed quickly, move on. The audience generally cares much more about the content than whether every technical element worked exactly as planned.

Common presentation mistakes

Many presentation problems come from the same underlying issue: trying to do too much. The presenter knows a great deal, wants to be thorough and ends up leaving too little time for explanation. Overcrowded slides often reflect the same problem.

Reading slides aloud is another common issue. If the words are already on screen, the audience does not need you to recite them. Put less on the slide and use your voice to explain the idea.

Poor timing can undermine otherwise strong content. Running over often means the final section is rushed, which is unfortunate because the ending is usually where the main message should be reinforced.

Excessive jargon makes presentations unnecessarily difficult for mixed audiences. Complicated animations and decorative graphics can distract from the content. Dense tables may be technically accurate but functionally useless in a live setting.

Perhaps the most important mistake, though, is failing to explain significance. A presenter shows a graph, quotes a study or describes a result but never quite tells the audience why it matters. Information becomes much more useful once its meaning is made explicit.

Improving your presentation skills

Presentation skills improve when practice is combined with reflection and feedback. Experience alone is not enough; someone can give presentations for years while repeating the same habits.


Reflect and ask for specific feedback

After an important presentation, spend a few minutes thinking about what happened while it is still fresh. Which sections worked? Where did you feel less comfortable? Which slides were difficult to explain? Did anything take much longer than expected? What questions did people ask, and did those questions reveal interest or confusion?

Feedback from others is particularly useful when it is specific. "That was great" is encouraging but tells you little about what to repeat. "The opening case made the subject immediately relevant, but I found the graphs difficult to follow because you went through them quickly" gives you something concrete to work on.

You can also ask people to pay attention to particular aspects of your presentation. If you know you tend to rush, ask someone to comment specifically on pace. If you are trying to rely less heavily on the screen, ask whether you appeared to be speaking to the audience.

This is exactly the principle we use when teaching feedback skills on our Teach the Teacher Course for Doctors. Feedback becomes useful when the learner knows what to do with it.


Record yourself and work on one thing at a time

Watching yourself present can be uncomfortable, but it is revealing. You may discover that you speak much faster than you thought, use the same filler word repeatedly or look at the screen whenever you are thinking.

Do not obsess over every mannerism. Everyone has them. Concentrate on things that genuinely affect communication.

If feedback suggests that you speak too quickly, use overcrowded slides, avoid eye contact and tend to run over time, trying to fix everything simultaneously may leave you thinking about yourself throughout the next presentation. Choose one or two priorities. Perhaps simplify the slides and practise your pace. Once those feel more natural, work on something else.

Improvement is usually gradual. The aim is not to become a completely different presenter at the next opportunity.

A practical pre-presentation checklist

A checklist can be useful because presentation problems are often caused by small practical details rather than the content itself.

The day before an important presentation, check that the file opens correctly and that fonts, images, videos and animations behave as expected. Confirm the time available and rehearse the full presentation aloud. Make sure you know how you will start and finish, and keep a backup copy of the slides.

Before entering the room, check the location and make sure you know who is chairing or introducing you. If possible, find out whether there is a microphone, lectern and presentation remote.

Once in the room, look at the slides on the actual screen rather than assuming they will appear as they did on your laptop. Check that the audience can see the bottom of the screen, test the microphone and silence notifications on any device that will be visible or audible.

Just before you begin is rarely the right time to start rewriting slides. Know your opening, take your time and start when you are ready.

A slide-by-slide quality check

Before finalising the presentation, go through the deck one slide at a time and ask what each slide is there to achieve. What do you want the audience to notice? Could you explain the same idea more simply? Is there information on the slide that you could simply say instead?

Check readability as well. Can someone at the back read the text? Is the contrast strong enough? Are the labels large enough? Is there unnecessary detail?

Then look at the sequence. Does each slide follow logically from the previous one? Are there sections where the jump feels abrupt? Does one part of the presentation dominate at the expense of something more important?

This kind of final editing can improve a presentation considerably even when the content itself is already complete.

Frequently asked questions about presentations

There is no ideal number of slides for a 10-minute presentation. Five slides could be too many if each contains a complicated graph that needs careful explanation, while 15 or 20 predominantly visual slides could work perfectly well if you move through them quickly.

The more useful question is how much information you are asking your audience to process. A new slide creates a small additional cognitive demand: people look at it, work out what it contains and decide where to direct their attention. If you are simultaneously giving them lots of new information verbally, they may struggle to do both.

Start with what you want the audience to remember at the end of the ten minutes, build your presentation around those messages and then use slides where they genuinely help you communicate them. Finally, rehearse it aloud. Timing a presentation in your head is notoriously unreliable.

Rules such as "one slide per minute" are convenient, but they are not particularly meaningful. Twenty dense slides containing graphs, quotations and multiple bullet points may be far too much for a 20-minute presentation. Thirty simple slides containing photographs, diagrams or individual messages might be entirely manageable.

Think about the pace of the presentation rather than the number of slides. Some material deserves time to breathe. If you show an important set of results, for example, give the audience enough time to understand what they are looking at before moving on.

When rehearsing, also avoid designing a presentation that takes exactly 20 minutes under perfect conditions. Pauses, audience reactions and transitions all take time. Having some material that you know you can shorten or omit gives you useful flexibility.

Usually, you should know your presentation extremely well without memorising every sentence of it. There is an important difference.

Know your structure, your key messages, important facts and figures, and where you are going next. It can also be helpful to rehearse your opening and closing particularly carefully because these are the moments when you want to sound assured and precise.

Trying to memorise an entire presentation word for word can actually make you less resilient. If you forget one sentence, your attention shifts from communicating with the audience to trying to recover your script. Someone who understands the structure can simply express the same idea differently and continue.

Rehearse repeatedly, but allow the precise wording to vary. The aim is to become familiar with what you want to say rather than to recite it.

Yes, when a list is genuinely the clearest way of presenting information. Bullet points are not inherently bad; overloaded bullet points are.

A slide containing three short items that you want the audience to compare may work very well. A slide containing 12 bullets, each running over two lines, effectively asks people to read a document while you talk to them.

Be particularly careful about revealing a slide full of text and then speaking about the first bullet. Most people will immediately start reading ahead, which means they are no longer giving you their full attention. You can sometimes avoid this by simplifying the slide, revealing information progressively or replacing text with a diagram or image.

Slides should support the presentation rather than become a written transcript of it.

There is no useful universal word limit. The important issue is whether the audience can understand what is on the slide while continuing to listen to you.

Ask yourself what purpose the text serves. A short heading can reinforce your main message. A few words may label a diagram. A quotation may occasionally deserve to be read. But if you routinely put whole paragraphs on slides, you create competition between two sources of information: your audience can either read or listen properly, but doing both simultaneously is difficult.

One useful test is to display the slide and imagine seeing it for the first time. Is its purpose immediately apparent? If you need 30 seconds simply to work out what the slide is showing, simplify it.

And remember that your slides do not have to contain everything you know. That is what you are there for.

First, don't become so preoccupied with filler words that you make yourself more anxious. Almost everyone uses them occasionally and an audience will usually notice them far less than the speaker does.

They become distracting when they appear repeatedly, particularly when every pause is filled with "um", "er", "so" or "basically". Often the underlying problem is simply that the speaker is trying to talk continuously while deciding what to say next.

Practise becoming comfortable with silence. Finish the sentence, pause, think and then continue. A one-second pause can feel surprisingly long when you are presenting, but to the audience it generally sounds controlled.

Record a few minutes of yourself presenting and listen back. You may discover a particular filler that you use repeatedly without noticing. Awareness, slower delivery and deliberate pauses usually work better than trying consciously to suppress every individual "um".

Don't respond by speaking twice as quickly. You may technically get through more slides, but the audience will absorb less of what you say.

A well-prepared presenter knows in advance which material is essential and which can be shortened if necessary. If you realise that you are running behind, make a deliberate adjustment: summarise an example rather than giving it in full, omit a secondary point or move past a non-essential slide.

Protect your main message and your ending. One of the weakest ways to finish a presentation is to race through the final six slides and then say, "I've run out of time, so I'll stop there."

This is another reason rehearsal matters. Don't merely discover how long the presentation takes; identify the places where you have flexibility.

Only if the handout has a useful purpose. It does not need to be a printed copy of every slide.

In fact, your slides and your handout may serve quite different functions. Slides support what you are saying in the room, whereas a handout can contain information people will want afterwards: references, detailed figures, practical steps, links, further reading or a concise summary.

Think about timing as well. If you give people a detailed handout at the beginning, some will start reading it while you are speaking. In other situations, having information available during the presentation may be genuinely useful.

Ask yourself what you want people to do with the handout. If there isn't a clear answer, you probably don't need one.

Neither is automatically better. The setting, audience and type of presentation matter.

Standing generally gives you greater physical presence and freedom of movement, which can be useful in a formal presentation or when speaking to a larger group. Sitting can feel more conversational and entirely appropriate for a small meeting, panel discussion or online presentation.

Whichever you choose, avoid allowing the position to restrict your communication. Someone standing rigidly behind a lectern can appear less engaged than someone sitting comfortably and making good eye contact.

For online presentations, sitting is usually practical, but pay attention to camera position and posture. A camera placed too low, poor framing or repeatedly looking at another screen can affect your apparent engagement much more than whether you are technically sitting or standing.

Your opening should quickly establish what the presentation is about and give the audience a reason to pay attention.

That does not mean every presentation needs a dramatic quotation, joke or startling statistic. Sometimes a straightforward opening is stronger. You might begin with a clinical problem, a short case, an observation, a question the organisation needs to answer or a finding that immediately demonstrates why the subject matters.

Avoid spending the first few minutes on lengthy acknowledgements, disclaimers or telling the audience everything you are going to tell them. Some signposting can be useful, particularly in a longer presentation, but the audience usually wants you to get to the substance.

Your opening also deserves rehearsal. The first minute is often when presenters feel most nervous; knowing exactly how you intend to begin can make the transition into the rest of the presentation considerably easier.

The ending should feel like the destination of the presentation rather than simply the point at which you ran out of slides.

Return to the central idea and make clear what you want the audience to remember. If you have presented several findings, draw them together. If you have argued for a change, state what needs to happen. If the presentation is educational, reinforce the most important learning point.

Try not to introduce substantial new material in your final few seconds. The audience needs closure rather than another branch of the argument.

It is also worth planning your final sentence. "That's everything, I think" weakens an otherwise confident presentation. A deliberate final statement followed by a pause makes it clear that you have finished and leaves your central message with the audience.

Prepare on the assumption that, occasionally, it will.

Have your presentation available in more than one place and, for an important presentation, consider having a PDF version as well as the original slide file. Arrive early enough to check the equipment, particularly if you are using video, audio, unusual fonts or anything requiring an internet connection.

More importantly, know your presentation well enough to continue if the slides disappear. You may not be able to reproduce every graph or image verbally, but you should still be able to explain the central argument.

If something fails during the presentation, stay calm and decide whether fixing it is genuinely necessary. Watching a presenter spend five minutes trying to restore a minor animation is often more disruptive than simply continuing without it.

Start by listening carefully enough to distinguish a genuinely difficult question from a difficult manner. Someone may sound confrontational while raising a perfectly legitimate concern.

Don't rush to defend yourself. Make sure you understand the point, acknowledge it where appropriate and answer the substance of the question rather than reacting to its tone. If you don't know the answer, say so rather than improvising something unreliable.

Occasionally a question is really a statement or an attempt to start a prolonged debate. You can acknowledge the person's perspective, give a concise response and then move on: you have a responsibility to the whole audience, not only to the person asking the question.

If the exchange needs a much longer discussion, offering to continue it afterwards can be entirely appropriate.

Use animation when it helps the audience understand something, not simply because PowerPoint allows you to do it.

Progressive reveal can be particularly useful. If a diagram contains several stages, showing them one at a time allows you to direct attention to the part you are discussing rather than asking the audience to decipher the whole thing immediately. The same principle can work with a short list or a complex process.

Decorative animation is different. Words flying across the screen, spinning graphics and elaborate transitions rarely improve understanding and can quickly make a professional presentation look dated.

For every animation, ask a simple question: does this make the information easier to follow? If the answer is no, you probably don't need it.

Humour can make a presentation warm, memorable and engaging, but you do not need to become a comedian to be a good presenter.

If humour is already part of your natural communication style and it suits the audience and subject, use it. A light observation or moment of self-deprecation can work extremely well. What tends to be less successful is inserting a prepared joke because someone has told you that good presentations must be funny.

Context matters too. Humour that works among close colleagues may be inappropriate with patients, at a formal interview or when discussing a sensitive clinical subject.

Aim to sound like yourself. Some excellent presenters are naturally funny; others are thoughtful, calm or understated. Engagement does not require everyone to adopt the same personality.

Pause. The audience does not know what you were planning to say next, so the moment will usually feel much more significant to you than it does to them.

Look at your slide, your presenter view or a brief set of notes and remind yourself where you are in the overall structure. If necessary, summarise the point you have just made while you regain your place.

This is another reason why understanding the structure of your presentation is more useful than memorising a script. If you know that your argument moves from the problem, to the evidence, to three possible solutions and then to your recommendation, you can usually recover your position even if the precise wording disappears.

Don't apologise repeatedly. Find your place and continue. A short pause is normal; turning it into a crisis is optional.
